Each Trust is responsible for the information governance arrangements of all its employees for which it requests access to defined SMART data sets, sit-reps and dashboards.
Access permissions relating to a user account will vary dependent on the user role within their organisation and organisational reporting arrangements.
Permissions are provided and monitored in the following way:
- A request is submitted for a new user account via nelcsu.smartsupport@nhs.net
- This will generate a notification to the SMART helpdesk and a ticket reference which is then picked up by the SMART support team.
- The SMART support team will request further information, if required, to validate the identity of the person requesting access, including which areas of the system they need access to (please see ‘Account validation’ below for further details).
- Access permissions will then be granted to one of the categories below.
User groups
- Complete User Access – Access to all user areas for specified sites/hospitals – (excludes system administration areas)
- Data Collection – Access to the data collection, repatriations and the dashboard areas
- Reviewer – Access to the dashboard area
- Analytics – Access to the dashboard area and the reporting area
Account validation
When a new account request is received, the SMART support team will make relevant checks with the Trust/Organisation operational management team /or other senior point of contact (SPOC) to validate the following:
- That the user has the Trust/Organisation authority to apply for the account
- The type of access required for the user
Therefore, before requesting an account users should liaise with their line manager to agree whether access is appropriate and likely to be agreed.
It is for the relevant Trust/Organisation to ensure that their employee’s access is necessary and up to date, particularly for those colleagues changing roles or leaving the trust.
